Importing Contacts

If you would like to add your contacts from the old email system into the new one then we can supply you with a file that can be used to add them in. This file is called a 'CSV' and will be emailed to you.

To request this CSV file (if you don't already have it) please fill in this form then follow the instructions below.

Contacts need to me imported into M365 using a file that will be supplied. 

Contact groups cannot be imported from the old system, only the contact details.

There are some limitations such as each contact can only have 3 email addresses associated with it. any additional email addresses or data not showing in the contact card can be viewed in the 'notes' section for each contact*.


  1. You will receive a file called "username contacts.csv" for example "john.wesley contacts.csv"
  2. You do not need to open this file, but you will need to download it and save it to your computer.
    1. If you are comfortable editing csv files and you wish to only import some contacts you can open the file and remove any rows for contacts you don't want.
  3. Open your email in the browser by visiting outlook.office.com
  4. Click the people icon on the left 
  5. Click "Manage contacts" and choose "Import contacts" 
  6. You will see a box popup with "Upload your CSV file" and a button that says "Browse". Click Browser and select the CSV file that you download in step 1, select the file from the box and click open. (If you're a Mac user and the file files is 'greyed out' or the open see the note ** in the footer of this article) 
  7. Click 'Import' 
  8. Your contacts will import and you'll see a message confirming this. You can then Close the popup box.
  9.  Your contacts will then appear underneath "Your contacts" in the people area.
  10. If you wish to group people together you can select them and click "Add to list" you can create a new list of add people to an existing one.



The notes field will contains all the raw data of the exported contact, this is to preserve any data that cannot be added to the contact (for example there is a limit of 3 email addresses per contact). You may find that this notes field also contains a whole load of random letter and numbers, this is nothing to worry about and just more of the raw data. If you want to edit this out you can, but it's a manual process per contact.

** For some Mac users, the downloaded the file of contacts saves as a 'numbers file'. If open it and then save it as a "CSV file" it then it should allow you to proceed.
